Privacy Policy
Last updated: October 7, 2026
This policy explains how Hefei AiGRAFT Robot Technology Co., Ltd. ("AiGRAFT", "we", "us") handles personal information when you visit aigraftrobot.com, request equipment information or communicate with our team.
Information You Provide
When you submit an enquiry, request a quotation or contact us, we collect the information you choose to provide. Depending on the form or communication channel, this may include:
- Your name, business email address and telephone number.
- Your company name, website and country or region.
- Equipment interests, crop types and nursery project requirements.
- Messages, seedling photographs, videos or other materials you send us.
Please provide only information relevant to your request. Avoid sending sensitive personal information or identifying other people unless it is necessary and you are authorised to do so.
How We Use Enquiry Information
We use enquiry information to respond to questions, assess equipment suitability, prepare quotations, discuss custom configurations and follow up on the project you contacted us about. For customers, we also use necessary information to fulfil orders and provide technical and after-sales support.
Depending on the activity and applicable law, processing may be necessary to take steps at your request before a contract, perform a contract, meet legal obligations, or pursue legitimate interests in responding to business enquiries and protecting our services. Where consent is required, we seek it for the relevant activity.
Marketing Email Preferences
Submitting an enquiry does not automatically subscribe you to promotional emails. Product updates, customer case studies, exhibition announcements and other marketing emails are separate from replies and follow-up concerning your enquiry.
Our policy is to send subscription-based marketing emails only when you have separately opted in. Subscription is optional and is not a condition of receiving equipment information or a quotation. You may unsubscribe using the instructions in a marketing email or by contacting us. Withdrawing marketing consent does not affect earlier lawful processing or necessary communication about an active enquiry, order or service request.
We retain a limited opt-out record where necessary to honour your preference and prevent your address from being re-added to a marketing list.
Service Providers and Other Disclosures
We do not sell personal information. Necessary information may be processed by service providers supporting website hosting, email delivery, enquiry management or other business systems, subject to applicable data protection requirements. We may also disclose information where required by law or necessary to establish, exercise or defend legal claims.
Cookies, Analytics and Third-Party Content
Cookies and similar technologies may support site functionality, security and authenticated administration. Browser settings allow you to manage cookies, although blocking necessary cookies may affect some functions.
Pages may display third-party content, including YouTube videos or Google Maps. Loading or interacting with this content may send technical information, such as your IP address, to the provider and may involve its cookies or other tracking technologies. Those providers process information under their own policies. You can review Google's Privacy Policy for Google Maps and YouTube.
Google Analytics 4, Google Ads tracking, Meta Pixel and email marketing platforms are not described here as currently enabled. If we introduce these tools, we will update this policy to identify their use and implement the necessary notices and consent controls before activation. Our planned analytics approach is to measure website and enquiry performance without sending names, email addresses, telephone numbers or enquiry messages to Google Analytics.
Where consent is required for non-essential tracking, it must remain inactive until the necessary consent has been obtained. Any future Google tracking setup intended to send no data before consent will use basic consent mode. Analytics preferences are separate from consent to receive marketing emails.
How Long We Keep Information
For enquiries that do not result in a purchase, our retention limit is 24 months after the last substantive project communication. We review whether information is still needed and may delete it sooner when its purpose has ended. Automated promotional messages do not restart this period.
Information needed for an active project may be retained while that project remains ongoing, subject to periodic review. Order, contract, accounting, warranty and dispute records have separate retention periods based on applicable legal obligations and service requirements. We retain only the information needed for those purposes.
If Google Analytics 4 is introduced, our proposed user and event data retention setting is 14 months. This is separate from the enquiry retention schedule and does not determine the retention of standard aggregated analytics reports.
Your Choices and Privacy Requests
Depending on applicable law, you may request access to your personal information, correction, deletion, restriction of processing or portability, and you may object to certain processing or withdraw consent. You may also have the right to complain to the relevant data protection authority.
Send requests to salesmanager@aigraftrobot.com. We may request proportionate information to verify your identity and locate the relevant records. We respond within applicable legal time limits.
For a deletion request, we assess relevant enquiry records, email correspondence, business systems and attachments, rather than considering deletion from WordPress alone sufficient. Some records may need to be retained for legal obligations or claims. Backup copies may remain until the applicable backup cycle expires; if restored, an applicable deletion or opt-out request must continue to be respected. We explain any relevant limitations in our response.
International Handling and Security
AiGRAFT is based in China. When you contact our team, your information may be accessed and handled in China. Service providers may process information in other countries depending on the services used. Where applicable law requires safeguards for international transfers, those requirements must be addressed for the relevant processing.
We use reasonable organisational and technical measures appropriate to the information and processing involved. No internet transmission or storage system can be guaranteed completely secure. Please contact us if you have concerns about information you have submitted.
Changes to This Policy
We may update this policy when our services or processing practices change. The date above identifies the latest revision. Any new purpose requiring further notice or consent will be handled in accordance with applicable law.
